At a glance
Start here
- Copy the exact airport or station name from the ticket.
- Ask the accommodation for a vehicle stop and a backup meeting pin.
- Compare transport to the roadhead, then plan the last walk separately.
- Recheck the operating flight or train before dispatching a pickup.
01
Write the arrival as separate legs
Begin with three labels: gateway, roadhead and door. The gateway is the exact airport or rail station on the booking. The roadhead is the closest practical point a chosen vehicle can reach. The door is the accommodation entrance. For an address on a broad road, those last two points may match; for an old-city lane or ghat-side stay, they may not.
Send the property name, full address and map pin to the driver, but keep the agreed roadhead in a separate message. Ask the accommodation which landmark a driver will recognize and whether staff can meet you there. This avoids treating a booking marked airport transfer as proof of lane-side access.
- Save the booking address offline.
- Name one primary and one backup meeting point.
- Pack the final walking leg into the plan.
02
Start with the exact gateway
The district administration identifies Lal Bahadur Shastri Airport at Babatpur and major rail access through Varanasi, while also naming Pandit Deen Dayal Upadhyaya Junction outside the central station area. A casual message saying Varanasi station is therefore incomplete. Copy the station name and code from the ticket into every pickup request.
For rail, use the National Train Enquiry System as the live operating checkpoint and share a changed arrival with the pickup provider. For air, use the operating airline and airport channels before dispatch. A search result or itinerary can explain the city, but it should not be used as live running information.
- Keep the train number and station code together.
- Check the operating carrier before a flight pickup.
- Update the driver after a material schedule change.
03
Compare the airport products by destination
The current Airports Authority of India passenger listing identifies a prepaid taxi counter, app-based cabs and maxi cabs at Varanasi airport. Treat those as different products. Confirm the named operator, pickup point, vehicle size, luggage fit, destination wording and payment method through the airport or service counter before leaving the terminal.
The district page also identifies prepaid taxi service at the airport, but its displayed fare examples are mutable and should not be copied into a current plan. Ask for the current quote and whether it covers the actual roadhead. If an accommodation offers pickup, compare the same endpoint and inclusion details rather than price alone.
- Use the airport’s current passenger listing.
- Confirm the quote to the named roadhead.
- Match the vehicle to passengers and bags.
04
Solve the old-city handoff before arrival
The district transport page says one-way traffic operates on some routes in the old temple and market areas and that auto-rickshaws or larger vehicles are not permitted on some of them. Its ghat page describes the riverfront as steps leading to the Ganga. Together, those facts explain why a driver may stop short of a ghat-side or lane-side address.
Ask the accommodation for the approach road, the nearest practical vehicle stop and the walking route from that point. If a staff meeting is offered, agree on a recognizable landmark rather than a vague lane entrance. Keep hands free for the last leg and avoid scheduling a fixed activity immediately after arrival.
- Do not infer road access from a riverfront map pin.
- Confirm who will initiate contact at the handoff.
- Keep essential items manageable for the walk.
05
Choose local transport by endpoint
The district lists taxis, e-rickshaws, cycle rickshaws and three-wheelers among local options. That list does not promise that every mode runs every route. Choose the longer road segment first, then decide whether a smaller local vehicle or a walk completes the approach. Repeat the same endpoint check for the return.
Group visits by geography. The ghats and old-city lanes create a different movement pattern from Sarnath, which the district places northeast of Varanasi, or the Crafts Museum at Bada Lalpur. A day that repeatedly crosses between those areas may depend on more handoffs than the attraction list reveals.
- Name the road-accessible endpoint for each visit.
- Keep old-city and cross-city legs distinct.
- Ask where the return vehicle can actually meet.
06
Build a live-check sequence
Check the journey in operating order: airline or train, ground transport, then accommodation handoff. Save the authoritative page for each stage. The National Train Enquiry System is the appropriate rail checkpoint; the current AAI passenger page is the airport starting point; the property is the source for its own lane-side meeting instructions.
Recheck after landing or when a train delay changes the pickup window. If the agreed service is unavailable, return to the airport or station’s recognized transport point and compare a replacement to the same roadhead. Do not let a fixed first-evening itinerary force a rushed handoff.
- Save official pages before departure.
- Keep enough battery and data for the handoff.
- Make the first activity easy to remove.

Reader questions
Can a taxi reach every Varanasi old-city accommodation?
Do not assume it can. The district says some old-city temple and market routes restrict auto-rickshaws or larger vehicles. Ask the property for the nearest practical vehicle stop and a precise meeting pin.
